1. Scope of Services

Clear North provides professional coaching, mentoring and corporate lecturing/training.

All services are delivered as agreed in writing with each client. No service is provided until a formal Service Agreement or Coaching Agreement is signed.

2. No Therapy or Medical Advice
‍

Coaching is a forward-focused, collaborative process. It is not therapy, counselling, medical advice, legal advice, or financial advice.

Clients are responsible for their own decisions, actions, and outcomes.

3. Professional Standards

Clear North adheres to the International Coaching Federation (ICF) Code of Ethics and the European Mentoring & Coaching Council (EMCC) Code of Ethics.

This includes respecting client confidentiality, maintaining professional boundaries, and ensuring ethical use of tools, including AI.

Clear North encourages clients to provide honest and respectful feedback throughout the coaching relationship. If at any point the coaching is not meeting expectations, clients are encouraged to raise this directly so that adjustments can be made.

Whenever possible, adjustments to the coaching approach will be explored before considering cancellation or termination of the service.

‍

Feedback may be given verbally during sessions or in writing and will be treated respectfully and confidentially.

4. Confidentiality
‍

All information shared in sessions or correspondence is kept confidential, except where disclosure is required by law.

Session notes may be anonymised for supervision purposes to maintain professional quality standards.

5. Session Recording & Notes
‍

Some sessions may use AI transcription to improve accuracy and follow-up. This will be disclosed in advance, and clients may opt out. If opted out, only handwritten anonymised notes will be taken.

6. Intelectual Property
‍

All materials, tools, and resources provided by Clear North remain the property of Clear North unless otherwise agreed in writing.

Clients may use materials for personal or internal professional purposes only and may not reproduce, share, or sell them without permission.

7. Payments & Cancellations
‍

7.1 Payment Terms

• Fees and payment schedules are agreed in writing before the start of services.
• For coaching packages, payment is due in full before the first session, unless a written installment plan is agreed.
• Payments are non-transferable and non-assignable to other individuals.

7.2 Rescheduling & Cancellations
‍

• For one to one coaching and mentoring sessions:
  • Minimum 24 hours’ notice is required to reschedule.
  • A maximum of two reschedules is allowed within a package.
  • Late cancellations or no-shows will be charged in full or deducted from the package.
• For corporate engagements, cancellation terms will be set out in the specific agreement.

7.3 Client-Initiated Termination

• If the client wishes to terminate a coaching package early:
  • Any completed sessions will be charged at the single-session rate.
  • A pro-rata refund will be issued for any unused sessions, minus an administrative fee of CHF 20,00 for processing.
  • If less than 50% of the package has been completed, a 14-day “cooling-off” period from the package start date applies, during which the client may cancel and receive a full refund for unused sessions, minus any sessions already delivered.

7.4 Coach-Initiated Termination

• The coach reserves the right to terminate the engagement if:
  • The coaching relationship is no longer productive or appropriate for the client’s needs;
  • Ethical, safety, or legal concerns arise;
  • Payment obligations are not met.
• In such cases, the coach will:
  • Provide written notice and explain the reason for termination;
  • Refund any unused, prepaid sessions in full;
  • Where appropriate, refer the client to another professional.

7.5 Mutual Termination

• If both parties agree to end the coaching relationship early, a pro-rata refund will be issued for any unused prepaid sessions, and no further obligations will remain except as agreed in writing.

8. Data Privacy
‍

Clear North collects and stores only the personal data necessary to deliver agreed services. Data is stored securely and never sold or shared with third parties, except as required by law or with client consent.

9. Governing Law
‍

These Terms and Conditions will be interpreted and governed in accordance with the laws of Switzerland. Any disputes stemming from the website template's use will be subject to the exclusive jurisdiction of the courts in Zurich.

10. Modifications
‍

We reserve the right to amend these Terms and Conditions at any time without prior notice. By continuing to use the website template following any modifications, you affirm your agreement to be bound by the revised Terms and Conditions.
